Recurring searches allow you to regularly re-screen your employees. This is useful when you need to run the same checks on a person on a regular schedule, such as to meet your organization's compliance requirements.
About Recurring Searches
Key Points
- Recurring searches must be set up within your account by BrightScreen. When discussing your background screening needs with BrightScreen, be sure to specify that you require recurring checks. We will guide you to select a product that includes the necessary recurring search capabilities.
- You cannot directly order a recurring search. It's automatically initiated based on the initial order you place for a product configured with recurring searches.
- Recurring Searches Run Automatically: Once the initial order is processed and the initial reports are completed, the system will automatically add the recurring searches to a monitoring queue. These searches will be run again at the predefined frequency set by your provider in the product configuration.
It is advised that you regularly check the status of your recurring searches. BrightScreen is here to assist, but is not responsible for monitoring for errors that stop the recurring search from running. Compliance updates requiring your input may stop a recurrence if you don't take action.
- The frequency of recurring searches is configured within the product by BrightScreen. You cannot modify the frequency once the initial order is placed. If you need to move to a different schedule, you must cancel the existing recurring orders and place a new initial order using the correct recurring search product.
- The subject must sign fresh disclosure and authorization forms each time a recurring search is ordered. This helps ensure compliance with applicable law(s). Each recurring order will move through the QuickApp process, including the Applicant Pending and Applicant Ready queues, just as a non-recurring order would.
Ordering, Receiving, & Maintaining Recurring Searches
Ordering Recurring Searches
- The Initial Order Process is the Same: besides selecting a product that includes recurring searches, all other aspects of the ordering process are the same.
- Be Sure to Choose a Product with Recurring Search Options: Products available to you will indicate in their description if they have recurring searches enabled.
- Complete the Initial Order Process: Follow the steps to complete the initial order for the selected product.
- Ensure QuickApp is Used: For recurring searches of employees or tenants to function correctly, the initial order must be placed using the QuickApp system.
Receiving Recurring Search Results
- Results are received in the same manner as non-recurring reports.
- You will be notified when recurring searches are completed and updated reports are available.
Maintaining Recurring Search Results
Active, expired, and erroring recurring searches can be viewed and maintained from the Workspace --> Recheck Queue menu.
Each recurring search order is listed in the table. You can take action on a particular person's recurring search by clicking into the name, or by checking the box before the name on the table (this allows you to take the same action on multiple names).
Options
- View History: displays the complete history of recurring searches for the selected person
- Export: generates a CSV file with the complete history of the recurring searches
- Skip: skips the next scheduled recurrence
- Cancel: cancels the recurrence
- Order: places the recurring order immediately instead of at the next automatic run time
